Venue hire is likely to be one of the single, biggest dents in your wedding budget, so you need to make sure you get it right. Make sure you ask the wedding team at any potential venue the following questions and you’ll be ensuring there are no nasty surprises waiting for you along the way.
No venue is going to actively mislead you about extra costs, but there may be things you simply haven’t accounted for, so always make sure you know exactly where you stand by asking the following questions:
Do you charge corkage?
What furniture, crockery and cutlery is included in the venue hire price?
Which serving/on-the-day staff are included in the venue hire costs?
What AV equipment do we pay extra for?
It’s all too easy to fall in love with a venue and forget the practicalities. To help you keep your head, regardless of what your heart’s doing, make sure you cover the following areas:
How many guests can you cater for?
What are the parking facilities for guests?
Are there extra rooms we can use for getting ready/storage?
What time do we have to turn off the music?
What time do the guests have to leave after the party?
Can we have a DJ and/or live music?
Are guests allowed to throw confetti? Can we use real candles?
Are there any restrictions on the entertainment we have?
What are the inside, wet weather options?
Is there a staffed cloakroom?
Where are the loos? (Make sure you check them out on a site visit!)
Florist, caterer, photographer – all your suppliers play a large part in the success of your wedding day and your venue so make sure you get it right:
Are there any suppliers we are obliged to use if we book this venue?
Can our photographer visit the venue before the big day?
If we use in-house caterers, can we create a bespoke menu?
Can we taste the food before we decide on our menu?
Do you have any deals with local hotels for our guests?
Where do couples usually pose for formal photographs?
The devil’s in the detail so make sure you get the full story by covering these finer points:
What is your cancelation policy?
How long can you hold our date for us?
What deposit do we have to pay and when, and when is the balance due?
Do we need to buy wedding insurance to hire your venue?
When do we have the venue from? Can we bring things over the night before or leave things over the night of the wedding itself?
Do you have public liability insurance?
Once you’ve got answers to all of the above questions, don’t be afraid to ask if there’s anything else you need to consider. The more unusual your venue, the more likely there is to be something unforeseen.
